Join Our Team: Bookkeeper and Office Administrator Role

Quoceant are looking for a bookkeeper/office administrator to join our team. The successful candidate will be part of a small, friendly team of engineers based in Loanhead just outside Edinburgh.


We are looking for someone who has the ability to work independently and manage and meet deadlines. The ideal candidate will be responsible for maintaining accurate financial records, managing accounts payable and receivable, and ensuring that all financial transactions are recorded in a timely manner. This role is crucial for supporting the financial health of our company and requires a strong understanding of accounting principles. Additionally, you will be required to support the team with general office administrative duties as required. MS Office skills and experience with the use of Xero accounting software are essential.


In addition to being supported by the management team our contract accountant will be able to provide support and advice on specific accounting matters.


Main Responsibilities

  • Maintain and update financial records, ensuring accuracy and compliance with relevant regulations.

  • Manage accounts payable, including processing invoices, reconciling statements, and ensuring timely payments.

  • Conduct regular reconciliations of bank statements and other financial accounts

  • Ensure all transactions are recorded accurately in the accounting system.

  • Prepare and manage cashflow report/ management accounts.

  • Issue of sales invoices to customers, procurement of services and supplies.

  • Prepare and action monthly payroll and email payslips to all employees

  • FPS and VAT submission to HMRC.

  • Administer pensions.

  • Maintenance of Xero accounting software systems

  • Administer company schemes, insurance, company cars etc.

  • Support wider team by providing necessary financial documentation and information as required.

  • Provide financial information /reports to our Accountant for statutory accounts and other matters as required.

  • Calculate and manage holiday entitlement for employees.

  • Other office administrative tasks.


Skills

  • Proficiency in accounting software.

  • Strong understanding of accounts payable processes and general accounting principles.

  • Excellent attention to detail with strong analytical skills to identify discrepancies or errors.

  • Ability to manage multiple tasks efficiently while adhering to deadlines.

  • Strong communication skills, both written and verbal, to effectively liaise with the team.

  • A proactive approach to problem-solving with the ability to work independently as well as part of a team.

  • High IT proficiency and ability to work across multiple systems effectively.


Experience

  • Significant bookkeeping experience.

  • Xero 1 year


Pay

  • Hourly £13.30 - £15.38 based on experience


Schedule

This is a permanent role working a total of 24 hours a week across 4 days. Initially, all work will be office based. However, when you have been fully trained in your role there will be an opportunity to adopt hybrid working, with a requirement of 3 days a week in the office.
